Tracking requests

Self-service users, including authorizers, requesters, and recipients, can track the status of their requests if they have the ”View open requests” right. By default, requesters can cancel their own requests before they are authorized, and recipients can view and cancel requests that apply to them as long as the requests are not termination requests.

Self-service users with the ”View archived requests” right can view their closed requests.

Workflow viewers – users with the ”View workflow requests” right – can view requests of other users. Workflow managers – users with the ”Manage workflow requests” right – can also act on requests, including those not explicitly assigned to them as authorizer.

You can use the FILTER REQUEST PLUGIN plugin point (Modules > Options) to hide specific types of requests from recipients. For example, you might want to hide account deletion requests from recipients.

You can use the AUTHORIZATION DETAIL MASK PLUGIN plugin point (Workflow > Options > Plugins) to determine whether authorization details about the request should be displayed to the user viewing the request. For example, you might want to hide authorization details from request recipients.

When users make a request, they can use a temporary ”toast message” link, displayed after the final step, to access the status page for the request. In some browsers, a JavaScript link may allow them to bookmark the status page or they may be able to right-click the link to bookmark it. Later, they can access the status page by clicking the Requests option on the main menu, or by following a link in the email they received from the workflow engine.

Note

In some cases, Bravura Security Fabric will display the status of a request as “Processed, informing authorizers”, even though it has been processed by authorizers and emails have already been sent. Requests remain in this status until all workflow events handled by the Workflow Manager Service service have passed. This includes reminder email times and the escalation timeout period. At this point, the Workflow Manager Service realizes there is nothing left to do and moves the request into its final “Processed” state.
